Share Assets with Web Shares

How to share Albums of images with others outside of your organization by creating Web Share links

Web Shares enable you to share images with individuals who don't have access to your OpenAsset system. This tool allows you to generate a link to share an Album so that it can be downloaded externally. Using Web Shares will save you time as you won’t need to download content and re-upload it to other file-sharing services such as WeTransfer and Dropbox.

Creating a Web Share

The first step is to create an Album. You will then be able to see the ‘Web Share’ icon on the Album in tile view mode here:

Alternatively, you can select 'Web Share' from the top menu when viewing the files within an Album.

From the window that opens, you are able to define:

  • Web Share name and description

  • File sizes to be included in the download

  • Custom file naming options

  • Options to pre-strip Metadata and embed Metadata into the files

Once you have edited the Web Share options, select 'Create New Web Share'

Once the Web Share Link is generated, the next window will enable you to set preferences such as:

  • Expiry date of download

  • Maximum number of downloads

  • Notification of first, last or every download

Before clicking 'Save' to apply these settings, you can copy the Download Link and send this out to recipients.

Finding & Viewing Web Shares

You can manage your Web Shares by navigating to 'My Web Shares' from the drop-down menu at the top-right of your screen.

On this page you are able to see your live Web Shares. You can edit the Web Share preferences (such as expiry date) and also see how many times they have each been downloaded.

To copy a link for an existing Web Share, click the 'Link' icon which will take you to the download page for the Web Share, where you can copy the URL from the address bar.

Deleting Web Shares

To delete a Web Share link, select the 'Delete' link on the 'My Web Shares' page. Whoever this link has been shared with will lose access to the Web Share.
