User accounts can be created several different ways:

  • Manually through your OpenAsset site

  • Automatically through "Automatic User Email Signup" or SSO connections

While you can assign some permissions to users, many more permissions can be assigned to groups in OpenAsset. All users in your system are within at least one group.

Manage Your Users

To manage the Users in your system, navigate to "Users" in your Settings menu.

The following page will display a list of the Users in your system. From here, you can create new users or edit and delete existing users.

Create a New User

Creating a new user manually

To create a new user manually through your OpenAsset site, click on "Create New Users."

The following information must be entered for the new user:

  • Username

  • Full name

  • Password

  • Confirm password

Creating new users through User Self Signup

This feature enables users to create their own OpenAsset user account from the OpenAsset login page.

Read more about how to set that up here.

Enabling signup through Single Sign On (SSO)

This features enables users to create their own OpenAsset user account seamlessly through an integration with your SSO provider. We currently have integrations with:

  • Azure Active Directory

  • Okta

  • Ping Identity

Read more about how to set that up here.

Delete a User

To delete a user, click the checkbox next to the user name and then select the 'Delete' button in the ribbon.

Note: this action is permanent cannot be undone. An alternative is to deactivate a user. Deactivating this user means they will no longer be able to access their account. Their name will still be linked to their uploads and visible in your system. You can re-activate this user at any time.

To activate or deactivate a user, select the user(s), then select the "Activate" button.

From here, you can choose whether to set a user as "Active" or "Inactive."

Edit a User

To edit a user, click the pencil (edit) icon next to that user.

From here you will be able to:

  • Change email address, full name, or email address

  • Active or Deactivate that user

  • Convert the user type

  • Edit the Group(s) the user belongs to

  • Change password

User Preferences

You can set default user preferences for your OpenAsset users. Read more about that here.
