Your File Taxonomy consists of all the available file keywords and file keyword categories in your OpenAsset system. You can edit which keywords are available to users for tagging images.
View your File Taxonomies
You can access your Taxonomies from the 'More' menu in the main header:
Each of your Categories have their own Taxonomy. For example, if you have Categories configured for 'Project' images and 'Reference' images, they will each have a File Taxonomy.
You can expand or contract the categories to view individual file keywords:
File Keyword Categories
File Keyword Categories help to keep your Taxonomies organised, and your keywords easier to find. For example, 'Materials' is a category to which the keywords 'Glass', 'Metal' and 'Concrete' belong.
To create a new category, select 'Add Categories'. To edit the name or location of a keyword category, select the 'Edit' link next to the keyword category name. You can also 'Delete' the category and all of its keywords by selecting the 'Delete' link next to the category name.
Note: Delete with caution. If you delete a category all of the keywords will be deleted as well.
To add keywords to a keyword category, select 'Add Keywords' next to the category name.
You can move keywords to another keyword category by selecting the keywords you want to move and then selecting the 'Move' button in the ribbon. You can then choose the category destination for those keywords.
Merging keywords allows you to refine your File Taxonomy. For example, you may wish to merge the keywords 'Shops' and 'Shopping Centres'. This gives users easy options when they are searching for keywords.
To merge keywords, select the keywords you wish to merge. Multiple keywords from different categories can be selected at the same time. Once you've made your selections click 'Merge'.
To delete keywords, select the keywords you wish to delete. Multiple keywords from different categories can be selected at the same time. Once you've made your selections click 'Delete'.
Review your File Taxonomy in a spreadsheet
If you need to review your File Taxonomy as a team, it can be useful to download your Taxonomy as a .CSV file. You can then collaboratively edit the keywords in a spreadsheet and then make the changes in OpenAsset. Alternatively, you can email the updated spreadsheet to your Customer Success Manger, who can make the edits for you.
