Monitoring your Project Assets

How to use the Asset Metrics dashboards to monitor Project Assets stored in your system and make improvements to data stored against them

The Asset Metrics dashboards enable you to monitor the volumes of assets stored and the quality of your asset metadata. These dashboards can help you understand that you have your company's assets centralized and they are ready to be found and used.

Accessing the Dashboards

These dashboards are available to those with administrator permissions and additional user groups can be given access by going [System Settings] > [Users] > [Groups] > [Edit] a group > [General Permissions] > then selecting [Access Asset Metrics]

It you have permission to see Asset Metrics, they are accessed via the settings menu in the header.

There are three dashboards for each asset type Files, Projects, and Employees. This page explains the metrics on the Project Assets dashboard.

Refresh Frequency

The metrics on the dashboards update every 24hrs and you are able to see how long it's been since the last update at the top of the screen. In other words if you make a lot of changes to your assets in one day, you will not see the results of those changes on the dashboards until the following day.

Improving my Metrics

Every company is different so it is up to you which metrics you would like to improve. If you are not sure how to improve a certain metric, the File, Project, and Employee metric articles have explanations for each metric. Most metrics have a "?" link directly to the explanation.

Seeing the Volume of Projects Stored

The Project Metrics dashboard reports on the total Projects stored. The line graph indicates how your number of projects has trended in the last 90 days. This metric only includes projects with “Active” visibility.

A hero image is the primary image used to represent projects. The Project Metrics dashboard reports on projects with hero images that you’ve set. Projects that do not have chosen hero images will have a suggested hero image automatically assigned. However, if you want your projects to be ready for use in your marketing and proposals, it helps for you to actively choose the best hero image.

Good project keywords are important for your business to get the most out of OpenAsset. They help projects to be found but also help with file search directly, as all files within a project are automatically tagged with that project’s keywords. The Project Metrics dashboard reports on the projects that have been tagged with keywords.

Project fields are used to store the information about your projects. The Project Metrics dashboard reports on the projects that have completed fields. This reports only on fields that are not required. You are able to report on projects that have specific fields completed by using the dropdown menu provided.
